Terms of Service
These terms govern the GateFlow website, accounts, licences, and the GateFlow app for Windows. This page is
a plain-language summary; the refund and cancellation wording below is summary wording and the final legal
text will be published here once confirmed.
Products and licences
GateFlow sells two products. An Event Activation licenses one production event up to a
chosen planned access capacity, from 1 to 20,000 unique access identities. Capacity counts every unique
identity issued (attendees, VIPs, staff, vendors, media, security), and deleting an issued identity does
not restore capacity. It includes one active Gate Controller, one registered standby computer, one
self-service device transfer, unlimited scanner phones, activation within 12 months of purchase, and up
to 30 consecutive live days after the first production entry. A GateFlow
Annual licence covers one legal organisation's own events for one year: unlimited sequential
events at up to 20,000 identities per event, one active Gate Controller, one standby computer, two device
transfers per licence year, and updates while active. Event history stays accessible after expiry.
No interruption of active events
An active event is never interrupted by licensing or by the availability of GateFlow's servers. The app
performs no internet checks during scanning. If an Annual licence expires during an active event, that
event continues; only new production events need a renewal. The 30 consecutive live days of an
Event Activation are checked only at the start of a new operating day, never mid-day.
Payments and fulfilment
Checkout is handled by Paymob and accepts cards and mobile pay. The licence key is issued by email
after the payment is verified. Prices are before VAT where applicable; taxes are shown before checkout.
Capacity upgrades are priced as the difference between the current and the new capacity, with a minimum
checkout amount of 500 EGP. Test Mode is free, needs no account and no licence, and is not for real event
entry.
Refunds, cancellation, and postponement (summary wording)
Potentially refundable: a completed payment where no licence was issued, a duplicate payment, an
unredeemed Event Activation within the legally approved period, or a documented defect preventing use.
Normally non-refundable: a licence that has been issued and activated, an event whose production exports
are completed or where live scanning has started, and an activated Annual licence. Postponing an event
never needs a repurchase; the licence follows the permanent event ID, not the date. If a payment is
disputed, contact us first at hello@gateflow.vip so we can
resolve it directly.
Accounts and responsibility
Keep your account credentials and licence keys confidential. You are responsible for activity performed
through your account and for using GateFlow for legitimate event entry only. Your event content,
attendee rights, and any legal notices required for your audience remain your responsibility. Event data
stays on your computer; keeping backups and the recovery code safe is part of running your event.
